Travel Insurance

It is a company policy of Leisure Cycle Tours & Adventures that all clients travelling with us have adequate travel insurance covering accident, personal injury, medical expenses, personal liability and repatriation expenses, loss or damage of luggage, personal effects or money, and expenses associated with trip cancellation, curtailment and delayed departure.

Leisure Cycle Tours & Adventures accepts no responsibility for any loss or damage to personal possessions or bicycles while in transit with us or our partners.  Because of the physical nature of our tours we strongly recommend that you buy special travellers, hospital and medical insurance to supplement your existing health insurance.

Risks and Liabilities

Your booking is accepted on the understanding that you realize and accept the risks associated with bicycle travel, and that you are fit and medically able to undertake this type of activity. Leisure Cycle Tours & Adventures can not be held liable for any accident, bodily injury or fatality suffered by any participant on our tours as a result of, but not limited to; physical exertion for which a guest is not prepared; forces of nature; travel by bicycle or any other form of active or adventure travel; consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations and the adequacy of medical attention once provided.  We will send you an Indemnity Form that must be signed and returned with your balance of payment.

Leisure Cycle Tours & Adventures is also not liable for any additional expenses that are not specified as included in the tour cost, but may be required to get to or from a tour start or end.  All unstipulated expenses such as flights, airport taxes, pre and post-trip hotel reservations, unspecified meals, drinks, alcoholic beverages, sight-seeing, extra activities, curios and items of a personal nature are excluded.

We also reserve the right to make route and hotel changes as necessary to improve the quality of a tour or to accommodate the comfort and well being of participants. Tour participants grant Leisure Cycle Tours & Adventures express permission to take photographs or film records of its tours for promotional and commercial use, without remuneration. Participants must also respect the laws and customs of South Africa, follow environmental guidelines and regulations while on the tour in accordance with the tour guide's direction and respect the rights and privacy of other tour members.

If the actions of any participant are disruptive or are affecting the enjoyment of other participants, or cause damage to accommodation or property of a third party, or cause an accident on the tour, you agree to indemnify us against any claim (including legal costs) made against us by or on behalf of the owners of such accommodation or property or resulting accident.  It is also a condition that participants wear an approved bicycle helmet at all times while cycling.

Guests who fail to provide a signed Indemnity Form prior to trip departure will not be allowed to join the tour and the cancellation policy will apply.

Routes

We cannot guarantee the condition or accessibility of routes, since they often follow public roads that are subject to road works, diversions, landslips, etc.  Under these circumstances we will make the necessary changes to the tour by seeking out suitable and safe alternative routes for the tour to continue along.

Bicycle Rental Conditions

Bicycles are rented out subject to availability and on the condition that the hirer assumes responsibility for the bicycle during the rental period. If you rent a bicycle, we will send you a rental agreement that should be signed and returned with your balance of payment.
All bicycles hired from Leisure Cycle Tours & Adventures are fully serviced before each tour and in the unlikely event of a breakdown, will be repaired or replaced immediately by the tour mechanic at no cost to the tour participant.
Leisure Cycle Tours & Adventures cannot be held responsible for the breakdown of a participant’s own bicycle, although we will assist with the repairs necessary or the replacement of the bicycle with a hired unit for a reasonable fee.

Complaints

At Leisure Cycle Tours & Adventures we try our utmost to ensure you have an enjoyable tour.  However, if you do encounter a problem during your tour, you should immediately notify your tour guide of the situation and we will do our utmost to resolve the matter immediately. Otherwise you can notify us in writing of the details of your complaint within 30 days of your return date so we can address the matter.

Accommodation

The cost of each trip is based on accommodation in twin or double bedded rooms. Those requesting single rooms will be charged a single room supplement. Whilst we will endeavour to find suitable room-mates for single travellers wishing to share, we cannot guarantee that a suitable share will be available, and in such a case the supplement will be payable.  As our tours are open to the international market, we cannot guarantee the composition of a group in terms of nationality, age, singles or couples.

Luggage Transfer

Participants are requested to take note of the tour guidelines with regards to luggage requirements.  All luggage needs to be ready for transfer at the time set out for that particular tour. 

Physical Health

Clients taking part in a tour do so at their own risk.  It is advised that all participants consult their physician if there is any doubt about their fitness or ability to take part in an activity based holiday.  Clients must ensure they have or plan to have adequate fitness to enable them to complete their chosen tour. 

Travel Documents

You are responsible to make sure that all your travel documents are in order and you meet all the passport and visa requirements for South Africa.

Currency fluctuations

The price of the tour package will not be subject to any surcharges once a booking has been confirmed, except in the event of a material worsening of the exchange rate of the Rand against the Euro.  In the case of such devaluation, we reserve the right to levy a surcharge equivalent to the devaluation percentage, on to the cost of the holiday.  We will notify you in writing of any such surcharges. Should the surcharge be 10% or more you will be entitled to cancel your holiday and receive a full refund of all monies paid. This cancellation right must be exercised in writing within 14 days of receipt of the surcharge notification.
