HOW TO MAKE A BOOKING
1. Decide on the tour that interests you and suits your abilities, fitness level and general state of health. Please refer to our tour grading guidelines to ensure you can comfortably complete the tour.
2. Review the tour itinerary for the tour you are interested in. A new screen will appear showing you the daily details of the selected tour. Once you are satisfied with the details, close this screen.
3. Select the tour date that suits you from the drop-down menu below "Booking Options". The tour pricing options will be displayed for the tour you have selected.
4. If you are happy with your choice, select the “Book Now” icon and a new page with the booking form will appear with the name, departure date and reference number for your tour already loaded. This form comprises two sections, a tour contact person section and a tour participant section.
Tour contact person section: These are the contact details of the person you wish us to liase with regarding all tour correspondence. If you are making an individual entry, you will fill in your contact details here. In the case of a group entry, your selected correspondent will fill in their contact details here. Once these details are submitted the tour participant section will appear.
Tour participant section: In this section the names and details of each tour participant are entered together with their personal preferences for meals, accommodation and bicycle hire. As each participant is loaded the corresponding tour pricing will be displayed at the bottom of the page. Once all the participants are loaded (for an individual entry only your details will be loaded), submit the booking form.
5. Select your method of payment.
6. Pay your tour deposit and e-mail or fax through confirmation of this payment.
Should you experience any problems with your online booking please contact us directly by e-mail, telephone or fax and we will gladly assist you.
RESERVATION CONDITIONS
Deposit
20% of the total tour price is payable in order to confirm your booking.
The payment should accompany your completed booking form. You will receive by email, confirmation of your booking and payment of your deposit no later than 24 hours after receipt.
Acceptable payment methods include:
1. Cheque or bank draft (South African residents),
2. Bank transfer,
3. Internet Transfer.
Note: If paying a deposit before the release of our finalised tour itinerary, your deposit is fully refundable up to 14 days after the release of that finalised tour itinerary.
PRICES and AVAILABILITY are subject to confirmation at the time of booking. Leisure Cycle Tours & Adventures reserves the right to alter any prices at any time before your holiday booking is accepted. If at the time of making your booking the price is different to that in our brochure, you will be advised of the revised price applicable before the booking is accepted.
Balance
The balance of your tour cost is due 6 weeks before the departure date of your tour. At this time you will receive a statement for the outstanding amount.
Payment methods are as detailed above for the deposit.
If you are booking within 6 weeks of the tour start date, then the full amount will be payable at the time of making the booking.
If the balance is not received by the due date, we reserve the right to cancel your booking and apply the cancellation charges as detailed below.
Details of your tour package will be sent to you approximately 2-3 weeks before your tour departure.
Cancellation Policy
Should you be unable to proceed with your tour for any reason you should inform us immediately.
Our cancellation and refund policy for all tours is as follows:
Cancellation within a minimum of 6 weeks before the tour start date, you will be refunded excluding your deposit.
Cancellation between 30 days and 6 weeks before the start date, you can choose between either a refund of 70% of your total payment or forfeiting your deposit and rebooking the same tour for an alternative date.
Cancellation within 30 days of the tour start date, there will be no refund or rebooking since we will then be liable to pay for the pre-booked accommodation.
There are no refunds for arriving late or leaving a trip early.
In the unlikely event that we have to cancel your tour for any reason, you will receive a full refund for your tour.
Booking Alterations
Should you require changes to your booking after it has been confirmed, we will do our best to meet with your requirements. Should space be available, we can transfer your deposit to another tour, providing you contact us at least 6 weeks prior to the original departure date of your tour.
However, if the alterations requested are not possible, we reserve the right to apply cancellation charges.
Transfers must be applied to a tour departing in the same calendar year and are not accepted for any tour departing in less than 30 days, as this will be deemed a cancellation since we will then be liable to pay for the pre-booked accommodation.
Bookings may be transferred to another person if desired, and the new booking will be confirmed on receipt of a completed booking form and an administration charge of R250.00.
Itinerary Changes
Leisure Cycle Tours & Adventures reserves the right to substitute alternative accommodation or make any other alterations to a tour if necessary due to circumstances beyond our control.
Should this be necessary we will do our utmost to ensure that any such changes do not substantially alter the nature of your tour and we will inform participants of such changes as soon as the situation arises.
If you are not happy with the changed holiday details you may transfer to another trip without charge, if space is available. Alternatively, you may cancel your booking and we will refund in full any monies paid, as a full settlement.
Some group and guided tours may need a minimum number of participants to start. This will be highlighted on the booking form and you will be notified 4 weeks prior to start of the tour if this minimum number is not achieved. We reserve the right to cancel any such tour and offer you an alternate tour package if possible. If this is not possible or acceptable to you, we will refund in full any moneys already paid, as a full settlement.
If a customer fails to make payment or by his or her behaviour necessitates the termination of the holiday, Leisure Cycle Tours & Adventures reserves the right to cancel the booking without any obligation to refund or make alternative arrangements. We also reserve the right to refuse a booking from or to continue to provide services to any person if by their conduct or actions they adversely affect the enjoyment of the holiday by other persons, and will be under no liability for any costs incurred as a result.
